Terms of purchase
Introduction
These Terms and Conditions apply to all services provided by Medical Room (“Medical Room”, “we”, “our”, “us”). By booking or attending an appointment with Medical Room, you agree to these Terms and Conditions.
These Terms apply to services booked:
- through our website
- by telephone
- by email
- in person at the clinic
Medical Room reserves the right to update these Terms periodically. The latest version will always be available on our website.
Nature of Services
Medical Room provides healthcare and wellness services including but not limited to:
- GP consultations
- diagnostic and screening blood tests
- ultrasound imaging
- IV therapy services
- aesthetic procedures
- other healthcare services delivered by approved clinicians
Certain services may constitute regulated activities under the Health and Social Care Act 2008 and may be delivered within a CQC-registered environment where applicable.
Services are delivered by appropriately trained clinicians or healthcare professionals operating within established clinical governance and safety frameworks.
Independent Clinicians
Some clinicians practising at Medical Room operate under practising privileges agreements.
These clinicians are independent practitioners and are not employees of Medical Room unless expressly stated.
Each practitioner remains professionally responsible for their clinical decisions and maintains appropriate professional indemnity insurance.
Clinical Suitability and Refusal of Treatment
All services provided by Medical Room are subject to clinical assessment and professional judgement.
Clinicians reserve the right to decline, postpone or modify a service if, in their professional opinion:
- the service is not clinically appropriate
- the treatment may present a risk to the patient
- sufficient medical information has not been provided
- required preparation instructions have not been followed
Where treatment is declined on clinical grounds, the clinician will normally explain the reasons and may recommend alternative care or referral where appropriate.
Diagnostic Testing and Laboratory Services
Certain diagnostic samples collected at Medical Room may be analysed by third-party accredited laboratories.
Laboratories used may include UKAS-accredited laboratories or other appropriately accredited providers.
Medical Room facilitates the collection of samples and communication of results but does not perform the laboratory analysis itself.
Turnaround times for laboratory results are estimates and may vary depending on laboratory processing times.
Imaging and Diagnostic Reports
Ultrasound and other diagnostic imaging services are performed by appropriately trained practitioners.
Reports are prepared in accordance with recognised professional standards and clinical governance procedures.
Diagnostic reports support clinical assessment but do not replace comprehensive medical evaluation where required.
Results and Follow-Up
Results will be communicated as agreed during booking or consultation.
Medical Room may provide explanatory notes alongside results; however, these should not be interpreted as comprehensive medical advice unless a formal consultation has been provided.
Unless explicitly agreed otherwise, Medical Room does not provide ongoing clinical management following diagnostic testing.
Patients are responsible for arranging follow-up with their GP or other healthcare professional where appropriate.
If urgent or concerning symptoms develop, patients should seek immediate medical attention through appropriate emergency services.
Interpretation of Diagnostic Results
Diagnostic tests and screening services provided by Medical Room generate clinical data intended to support healthcare assessment.
Test results should be interpreted within the context of a full medical history, clinical examination and professional medical judgement.
Medical Room does not guarantee that diagnostic testing alone will identify all medical conditions, abnormalities or future health risks.
Some results may fall within laboratory reference ranges yet still require clinical interpretation depending on individual circumstances.
Unless explicitly stated otherwise, Medical Room does not assume responsibility for ongoing clinical interpretation or management of results once they have been issued.
Patients are responsible for seeking appropriate medical advice from their GP or another qualified healthcare professional where interpretation or follow-up is required.
Appointments and Cancellations
Patients may cancel or reschedule appointments up to 24 hours before the scheduled appointment time without charge.
Cancellations made within 24 hours of the appointment may incur a £50 cancellation fee.
This fee may be:
- deducted from any refund due, or
- charged separately if payment has not yet been processed.
If a service has already commenced (for example sample collection, treatment, or a home visit), cancellation is no longer possible and the full service fee remains payable.
Payments and Refunds
Payment may be required in advance for certain services.
Where services are cancelled in accordance with Section 9, refunds will normally be processed within 30 days of cancellation confirmation.
Where diagnostic testing has already been performed or samples have been sent to a laboratory, refunds may not be available.
Medical Room reserves the right to deduct reasonable administrative or preparation costs where applicable.
Patient Responsibilities
Patients must provide accurate personal and medical information relevant to the service being provided.
Patients should inform clinicians of:
- relevant medical history
- medications
- allergies
- pregnancy where applicable
Failure to provide accurate or complete information may affect the safety or suitability of services.
Aesthetic and Elective Treatments
Certain services provided by Medical Room are elective procedures.
As with all medical treatments, risks and complications may occur.
Patients will normally be asked to provide informed consent prior to elective procedures being undertaken.
Limitation of Liability
Medical Room will provide services with reasonable care and skill.
Nothing in these Terms excludes or limits liability where prohibited by law.
Medical Room is not responsible for:
- clinical decisions made independently by practitioners
- delays caused by third-party laboratories
outcomes outside the reasonable control of the clinic.
Data Protection
Medical Room processes personal data in accordance with UK GDPR and the Data Protection Act 2018.
Personal data is processed for the purpose of delivering healthcare services and managing clinic operations.

Complaints
Medical Room is committed to maintaining high standards of patient care.
Complaints should be submitted to:

Complaints will be investigated in accordance with the clinic’s Complaints Policy.
Where complaints relate to independent clinicians, they may be shared with that clinician as part of the investigation process.
Governing Law
These Terms and Conditions are governed by the laws of England and Wales.
